Verifying Dealer License and Business Information
Verification is the one-off pass where you tell us who your dealership is and who you are, and send us the documents that prove it. It is the first thing to do on a new account, because several parts of the app stay closed until a person here has checked your business. This article covers what to fill in, what to send, and how to tell when it is done.

What it costs
Section titled “What it costs”Nothing. Verification is free, and there is a welcome credit grant that lands on your balance once the business is verified. The Tax and License Numbers screen says what that grant is, and your live balance is always in Settings → Billing → Credits and in the top bar of the dashboard. See How Billing and Credits Work.
Where everything lives
Section titled “Where everything lives”Five screens, and it is worth knowing which is which before you start hunting.

Tax Rates is on the same checklist as everything else, and it is the one people miss — deals will not price correctly without it.
Step by step

Section titled “Let the Account Notice drive it”While anything is outstanding, an amber Account Notice strip sits across the top of the dashboard with a progress bar and a View All button. View All opens the Compliance Checklist, which lists exactly what is missing, grouped by the screen that fixes it — every line takes you straight to the screen that holds it.
Working from that list is faster than working from this article, because it only shows you what your account is short of.
Complete your own details
Section titled “Complete your own details”Settings → Your Account → Personal Information. Fill in the whole screen — first and last name, phone, date of birth, and your driver license state and number.
Further down, Your government issued ID is a card with an Upload button. Send a photo or scan of your driver license. This is about you, not the dealership and not a customer: filing with Florida happens in the name of a real person, so we have to know who that person is.
Complete the dealership’s details
Section titled “Complete the dealership’s details”Settings → Dealer Management → Dealer Information. Company name, fictitious name if you trade under one, when the business was established, and both addresses. Save when you are done.
The physical address is not decoration — sales tax is worked out partly from where your dealership is, so an approximate address gives approximate tax.
Add the dealership’s contact details
Section titled “Add the dealership’s contact details”Settings → Dealer Management → Contact Information. A phone number and an email address. These print on your sale paperwork, and they are how we reach you if something in your verification needs fixing — so a number that somebody answers saves a day.
Fill in the tax and license numbers
Section titled “Fill in the tax and license numbers”Settings → Dealer Management → Tax and License Numbers. This screen holds:
- Federal Employer Identification Number
- State Resale Tax Number
- Dealer License Number
- Dealer License Pin — the four digits the DMV gave you when you got the license. It is what authenticates your dealership on every transaction with the state, so it is worth getting right rather than guessing.
- ELT Number — optional, and only relevant if your dealership carries its own notes
Send the documents
Section titled “Send the documents”Lower down the same screen, under Your business documents, there is a card per document we ask for — Dealer license and Resale certificate — each with its own Upload button and its own status.
- Send a current dealer license. An expired one does not clear the requirement.
- Make sure the name and license number on the document match what you typed above.
- If there is something else you want us to have, Other documents at the bottom takes anything.
What happens next
Section titled “What happens next”Someone here reviews what you sent. The app’s own message asks you to allow up to 24 hours after an upload before chasing it.
If something is wrong or missing, we contact you by email or phone — which is why the contact details above matter. If everything checks out, the account is marked verified and the parts of the app that were waiting on it open up.
If it will not let you continue

What an expiry date on a document means
Section titled “What an expiry date on a document means”Some documents lapse — your driver license, your dealer license, a resale certificate. For those, we record the date the copy you sent us runs out, and the card shows it as On file. Expires 03/14/2027. A document that does not lapse says so instead: On file. This document doesn’t expire.
Three things follow from that, and all three catch people out:
- A document is good through the date printed on it, not up to the day before. It flips to Expired the day after.
- An expired document stops you filing. Florida will not accept a registration from a dealership or a person whose licenses are out of date, so a lapsed one is not a paperwork nicety. The app warns you that a document is expiring soon rather than at the moment it stops working.
- Sending a newer copy does not delete the old one. A new upload is an additional copy. It shows as Under review until we have checked it, and the copy we are currently relying on keeps working in the meantime — so replacing a license never takes your filing away while the new one is being looked at.
The status words are the same everywhere they appear: Needs upload, Under review, Received, Expired.
You never type an expiry date in yourself. We read it off the document when we check it.
After you finish
Section titled “After you finish”The Account Notice disappears once nothing is outstanding, and your credit balance in Settings → Billing → Credits will show the welcome grant — see How Billing and Credits Work for the full list of grants.
We also email you one or two agreements to sign electronically. Signing those is part of finishing verification, and there is nothing to print or upload.
